Most teams discover PDF translation is harder than it looks the first time they try to translate an annual report or a regulatory filing. The text part is easy. The layout falling apart is the hard part.

This guide walks through the four criteria that separate good PDF translators from bad ones — and gives you a checklist to use when comparing tools.

1. Layout fidelity

The single biggest differentiator. Most tools extract text, translate it, and dump it into a fresh PDF — losing all the formatting. Good tools preserve charts, tables, multi-column layouts, footers, page numbers, and embedded images.

A quick test: take a 10-page report with at least one chart and one multi-column page. Translate it. Open both side-by-side. If you have to re-format manually, the tool failed.

2. OCR for scanned PDFs

A scanned PDF is just an image of text. Without OCR, the translator has no text to work with. If you ever deal with old contracts, government forms, or anything from a fax machine, OCR is non-negotiable.

Look for tools that do OCR + translation in one step. Doing them separately introduces character recognition errors that cascade into the translation.

3. Language coverage

The big tools all cover roughly the same 30 popular languages well. The differences show up in:

  • Lower-resource languages like Vietnamese, Khmer, Swahili, or regional dialects
  • Specialized vocabulary for legal, medical, or technical domains
  • Right-to-left scripts (Arabic, Hebrew) and CJK layouts

Test with the actual language pair you care about, not just English-French.

4. Security and compliance

For business documents this matters more than people think. The minimum bar:

  • TLS in transit, AES-256 at rest
  • Files auto-deleted after processing (not used to train models)
  • SOC 2 or ISO 27001 if you're enterprise
  • GDPR-compliant if you process EU data

Free consumer tools usually fail at least two of these. That's fine for a recipe but not for a contract.
